O/E designed and developed several different solutions and applications to enhance the awareness level and communication capabilities of Henry Ford Health System's existing employee kiosk stations. The solutions and applications that O/E developed and implemented included an attract loop or "screensaver" animation for the kiosk stations, a subject matter expert information sharing application (Ask the Expert), and a virtual suggestion box (eNancy).
"We have 18,000 employees in over 46 locations. Communication to our workforce is a critical element to our success. We had established kiosks at various locations throughout our organization. We then, through O/E's help, figured out a way to make them attractive and engaging to our workforce… they are now being utilized and we are getting the efficiencies we hoped for originally. As a result, our employee engagement and employee satisfaction surveys are the highest they've been in history. And, employee communication was rated as one of our great strengths in our organization." Robert Riney, Senior V.P., Chief Operating Officer
Within a hospital system, not all employees have access to a computer. Henry Ford Health System installed kiosk stations at each hospital location, with some locations having more than one station. Henry Ford Health System employees can use the kiosks to access the company intranet. The leadership at Henry Ford Health System recognized that the kiosks were fading into the background, and that it was time to breathe some new life into their use as a vehicle for employee communication. The first step was to create something new that would immediately catch the eye and the attention of employees as they passed by the kiosk stations. To the left, you can view the attract loop that O/E developed. Essentially, the attract loop is a "screensaver" that runs after a period of inactivity. ![]() Nancy M. Schlichting, President and Chief Executive Officer of Henry Ford Health System, wanted the employees at HFHS to have better access to company executives through the intranet. O/E developed eNancy, an application that allows employees to submit questions and comments to Nancy and other company executives and see their responses posted online. It has been an excellent way for the executives to know what is on the minds of the employees and keep the communication channels open. Nancy M. Schlichting, President and Chief Executive Officer
Ask the Expert is another communication tool that allows Henry Ford Health System employees to watch their colleagues answering questions in a storytelling fashion on video. The featured experts have also enjoyed this rewarding opportunity to share their knowledge and experience with others throughout the organization. Henry Ford employees have also learned some great workplace tips for handling a variety of healthcare and patient situations. O/E worked with Henry Ford Health System to design and develop a Web-based awareness course for a new, system-wide human resource self-service software application. Intended as a marketing tool, the Web-based awareness course included an opening video by Robert Riney, Henry Ford Health System's Senior V.P. and Chief Operating Officer. Later in the course, video testimonials from the user group reinforced the benefits of the self-service application from their operational perspective. The course was a prerequisite to the hands-on, instructor-led sessions that stepped users through the transactions in the application and provided time to practice and interact with the new tool before it was launched. For continued on-the-job performance support, O/E created 52 simulations for the new software application. Accessed through the application's help menu, the simulations allowed the user to either watch the appropriate steps in the completion of a transaction or to perform the steps contained in the particular transaction with support. The diagram to the right shows the total solution. HFHS University Three-Year Strategy The Henry Ford Health System University (HFHSU) was originally launched with a focus on compliance and regulatory training. Although the University achieved success around its compliance and regulatory training requirements, it was struggling to become the full-service entity that it envisioned. The University was unable to develop its own identity as it quickly became associated with online learning and the Learning Management System that served as the backbone and provided the majority of the compliance and regulatory training programs. O/E met with the Chief Learning Officer and one of the University's Organizational Development experts to help them assess and discover the current state of the University. Realizing the need for a formally documented strategy for the University, they contracted with O/E to lay out a plan for formalizing and putting into writing the plans for HFHSU over the next three years. The comprehensive plan that resulted was formulated through research, internal data gathering, benchmarking, and best practices for corporate universities. Internal data was gathered by interviewing and surveying stakeholders at the executive and management levels. The strategic and tactical input uncovered the vision for HFHSU, along with the operational requirements and improvements that need to be fulfilled. Included in the strategy are the following topics:
